Notes you paste into the AI tools
Notes are sent to a large language model API for one purpose: producing your analysis. They are not published, not used to build mailing lists, and not used by this site for anything else. Do not paste protected health information; de-identify every note before it goes in the box. The tools remind you of this because it matters: you are responsible for removing patient identifiers before pasting.
Four direct answers, because physicians ask them. Are notes stored by this site? No; nothing you paste is written to any database this site operates. What actually happens: the pasted text travels over an encrypted connection to the AI provider and the analysis comes back. The raw note is not written to persistent storage operated by this site; the generated analysis may be held briefly in temporary job storage while your browser retrieves it, is deleted after retrieval, and expires automatically within one hour. Are they used to train AI models? No; the AI provider does not use API submissions to train its models, and this site grants no such permission. Is there a Business Associate Agreement? No, and none is offered, which is exactly why protected health information must never be pasted, not even once. What does the AI provider keep? Submissions are processed to generate your analysis, retained by the provider for a limited period for trust and safety review, up to about 30 days under its published API data policy, then deleted, and are never used for advertising or model training.
Accounts
Accounts are optional and passwordless; there is no password to store or breach. Signing in works by a six digit code sent to your email through an email delivery service (Resend). An account stores your email address, your plan and its expiry date, a payment processor customer reference when you purchased, a short list of signed-in devices (a random identifier, a browser label like Chrome on Mac, and when each was last used), a count of analyses used each month, and, only if you switch it on from the tracker page, a backup of your wRVU tracker (codes, counts, and your goal; it contains no patient information and can be removed by turning sync off). Nothing you paste into any AI tool is ever saved to your account. Account holders may receive occasional PhysicianCodingGuide updates such as new guides and coding rule changes; the preference is shown as a checkbox on the account page and opting out is one click there, honored immediately. The address is never sold or shared, and sign-in codes you request are the only other email an account generates. Deleting your account on the account page removes all of it immediately and permanently.
What the site collects
Standard analytics (Google Analytics) records anonymous usage such as pages visited and general location, which helps decide what to improve. The hosting provider (Netlify) keeps ordinary server logs. The AI tools keep a small counter in your own browser's local storage to track free analyses on your device; it never leaves your browser. If you submit the contact form, the message and the details you type are delivered by the hosting provider's form service so your message can be answered.

What the site does not do
No selling or renting of personal information. No advertising trackers. No requirement to create an account. No storage of pasted notes in any database operated by this site.
